Email has emerged as the main form of communication in the current digital era. But occasionally, saving an email as a PDF is required for sharing, printing, or future use. We’ll walk you through the process of saving it into a PDF document on desktop and mobile devices in this post.

The procedure on a PC is simple. Either a third-party program or the built-in features in your email client can be used. Using Gmail, Outlook, and Mac Mail to save an email as a PDF is explained in the steps that follow.

Using Gmail

  1. To save the email as a PDF, open it.
  2. Click on the three vertical dots at the top right corner of the email.
  3. Select “Print” from the dropdown menu.
  4. In the print dialog box, select “Save as PDF” from the “Destination” dropdown menu.
  5. Choose the page range you want to save or leave it as “All” to save the entire email.
  6. Click on the “Save” button to save the email as a PDF.

Using Outlook

  1. To save the email as a PDF, open it.
  2. Select “File” from the menu in the upper left corner.
  3. Choose “Save As” from the selection that drops down.
  4. Choose “PDF” from the “Save as type” dropdown menu in the “Save As” dialog box.
  5. After selecting the desired location for the PDF’s storage, click “Save.”

Using Mac Mail

  1. To save the email as a PDF, open it.
  2. Select “File” from the menu in the upper left corner.
  3. Choose “Export as PDF” from the menu that appears.

Using Mobile Devices

Using iOS

  1. To save the email as a PDF, open it.
  2. At the bottom of the screen, tap the “Reply” button.
  3. Choose “Print” from the menu of activities.
  4. To open the share sheet on the preview screen, pinch out the preview image with two fingers.
  5. Using the share sheet, choose “Save to Files”.
  6. After selecting the desired location for the PDF’s storage, click “Save.”

Using Android

  1. To save the email as a PDF, open it.
  2. In the upper right corner of the screen, there are three vertical dots. Tap on them.
  3. Choose “Print” from the option that drops down.
  4. Choose “Save as PDF” from the “Printer” dropdown menu in the print dialog box.
  5. After selecting the desired location for the PDF’s storage, click “Save.”
